Privacy policy

This policy explains how Meridian Labs LLC ("Meridian Labs", "we", "us") collects, uses and protects information when you visit this website or use our products, including Realmatic Toolkit (together, the "Services"). A product may have its own additional notice; if it does, that notice and this policy apply together.

At a glance

We collect what our products need to work: your account details, the content you create, and optional contact details for notifications you turn on.
We don't sell your personal information or use it for advertising.
This website has no analytics or advertising trackers.
You can ask for a copy of your data, or for it to be deleted, at any time.

Information we collect

Information you give us

Account information: your email address, a username and display name, and the sign-in details handled by our identity provider. We never see or store your password.
Content you create: characters, campaigns, homebrew systems, notes, plot hooks, calendars, schedules, dice rolls and other material you enter, plus images you choose to upload, such as portraits.
Optional contact details: if you turn on text message notifications, the phone number you enter and a record of your consent.
Messages to us: what you send when you email or call us.

Information collected automatically

Technical data: the IP address, browser or device type and request logs that our hosting provider records to run the Services, keep them secure and diagnose problems.
Preferences: settings such as theme, font and notification choices, stored with your account or on your device.
Push subscriptions: if you allow push notifications, the delivery address your browser or device provides.

This website does not use advertising cookies, analytics trackers or third-party advertising. Our products use local device storage only for functions such as keeping you signed in, caching data for offline use and remembering your preferences.

How we use information

To provide, maintain and improve the Services, including syncing your content across devices and sharing it with the campaign members you choose.
To send the notifications you have turned on, and essential messages about your account or the Services.
To respond to support requests and other enquiries.
To protect the Services and their users, including preventing abuse and enforcing our terms.
To comply with legal obligations.

We do not sell your personal information, share it for cross-context behavioural advertising, or use it to train third-party AI models.

With other users, as you direct: campaign members can see the characters and campaign content you share with them, and anything you publish to a marketplace is visible to other users along with your username.
With service providers: companies that host and operate the Services for us, such as cloud hosting, database, identity, email, text message and push notification providers. They may use the information only to provide services to us.
For legal reasons: when we believe in good faith that the law requires it, or to protect the rights, safety or property of our users, the public or Meridian Labs.
In a business transfer: if we are involved in a merger, acquisition or sale of assets, in which case we will notify you before your information becomes subject to a different policy.

Text messages

Text notifications are off by default and are sent only if you enable them, enter your own number and agree to receive them. Message frequency depends on your notification settings, and message and data rates may apply. Reply STOP to opt out or HELP for help. We do not share your phone number or consent data with third parties for their marketing purposes.

Retention

We keep your account information and content for as long as your account is active. When you delete content or your account, we remove it from active systems, and it is purged from backups as they expire. We may keep limited records longer where the law requires it or to resolve disputes.

Your choices and rights

You can view and update most of your information, and turn each notification channel on or off, in your account settings.
You can ask us for a copy of your personal information, or to correct or delete it, by emailing info@firstmeridianlabs.com. We will verify the request comes from the account holder and respond within the time the law requires.
Depending on where you live, you may have additional rights under local privacy laws. We will honour them.

Security

Data is encrypted in transit and stored with reputable cloud providers that encrypt data at rest. Access is limited to the people who need it to run the Services. No system is perfectly secure, but we take reasonable measures to protect your information.

Children

The Services are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has given us personal information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. We will post the new version here with a new effective date and, for significant changes, notify account holders in the app or by email.
